Welcome to Aidace Email Notifications. In this article we will explain how the emails work, how to subscribe or unsubscribe, and how to customize them for your daily workflow.

Some of the basics
Scared of too many emails? Don't worry! We gave this some thought
Emails are only sent when other people make updates in Aidace, you will not get an email when you make a change
You will only get emails for the facilities that you have access to
You have the ability, in your settings, to choose which facilities you want emails for. Even if you have access to many facilities, you will not need to see emails for all of them
If you edit your settings after something was updated in Aidace you will still get an email for that item, the email will stop for any new updates
Most emails are grouped and sent on an hourly schedule to avoid a cluttered inbox. The "Tasks assigned to me" email is sent instantly and not grouped due to the importance of that email
Settings/Preferences
Let's take a look at your settings.
First click on your user avatar
Next choose notification preferences
You are now on the notifications page. To subscribe to an email just click on the checkbox. To edit the settings of an email you will need to have checked it off first. More on those settings will be explained within each email's instructions.
Emails available
Task assigned to you
This email is the one you have been dreaming about. If someone creates a task and assigns it to you, an email comes your way! If a task assigned to someone else is reassigned to you, an email comes your way!
To modify and be notified only when specific users assign you a task you can click on the settings gear and make that change.
Application status updated
This email will notify you whenever the status of an application changes. Want an email when an application was submitted? No problem! Only want an email when an application was denied? Also, no problem.
Let's take a look.
By default, if you subscribe to this email, you will be notified about all status changes made by any user for all of the facilities that you have access to.
To modify that you will click on the settings gear (circled above) and you will get this screen
In the first section, red arrow, you can modify the notification by user and limit the notifications to only be emailed to you when specific users make changes.
For example, there are 4 people that have access to a facility in Aidace but you only want an email if person # 2, maybe the BOM, makes an update to the application status.
In the second section, blue arrow, you can choose to modify the notification to only arrive when the application status changes to specific statuses.
For example, I only want an email when an application is marked as Submitted, Denied, and approved.
Choosing "only for residents assigned to me" would override the facility permissions and would limit the emails to only arrive for residents that you are the assignee on. This is a great way to "watch" a case. Need to monitor a case but not entire facility? Set yourself as the assignee and only get notifications about that one resident.

Note added (or edited)
This email allows you to subscribe and receive emails when notes are added or edited. This email is grouped and sent once an hour to reduce inbox clutter. Using the user settings is very valuable here as it allows you too very picky about which notes to get emailed about.

This is a great way to "watch" a case. Need to monitor a case but not entire facility? Set yourself as the assignee and only get notifications about that one resident.

Document uploaded
This email will give you a roundup of all the documents uploaded. This one is grouped as well. You might want to modify this to allow specific user uploads just like you would on the notes.
This notification goes a bit father then notes and here you can also pick which document categories you want to be emailed about.
